Privacy Policy

How Lincoln Homes (UK) Ltd collects and uses your personal information.

Who we are

Lincoln Homes (UK) Ltd, company no. 08962428, registered in England & Wales. Registered office: 88a George Lane, London E18 1JJ. We are the data controller for the information described here. Email hello@lincolnhomesuk.com or call 020 8530 4096 with any question about your data.

What we collect

  • Your name, phone number, email address and property address when you fill in a form or call the office.
  • Details of what you're looking for — budget, area, bedrooms — so we can send you the right properties.
  • Identity and financial information where the law requires it: anti-money-laundering checks for sellers and buyers, referencing and right-to-rent checks for tenants.
  • Basic technical information about your visit to this website (see the Cookie Policy below).

Why we use it, and our lawful basis

  • Contract — to value, market, sell, let or manage a property for you, and to run a tenancy.
  • Legal obligation — anti-money-laundering checks, right-to-rent checks, deposit protection, HMRC and licensing requirements.
  • Legitimate interests — replying to your enquiry, matching you to properties, keeping records of the work we've done, and protecting against fraud.
  • Consent — property alerts and marketing emails. You can unsubscribe at any time and we'll stop.

Who we share it with

Only where it's needed to do the job: portals such as Rightmove and Zoopla when we market your property, referencing and credit-check providers, deposit schemes, contractors attending a repair, solicitors and conveyancers, accountants and auditors, and our IT and email providers. We never sell your data to anyone.

How long we keep it

Enquiries that don't go anywhere: two years. Completed sales, tenancies and managed properties: six years after the relationship ends, to meet tax and legal record-keeping duties. Anti-money-laundering records: five years, as the regulations require. Marketing consents: until you withdraw them.

Your rights

Under UK GDPR you can ask for a copy of your data, ask us to correct or delete it, object to or restrict how we use it, ask for it in a portable format, and withdraw consent to marketing. Write to us and we'll reply within one month, free of charge. If you're not happy with our answer you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Keeping it safe

Your data is held on access-controlled systems within the UK or the European Economic Area. Where a supplier is based elsewhere, we make sure an approved transfer safeguard is in place. If something ever goes wrong, we'll tell you and the ICO where the rules require it.

Cookie Policy

What this website stores on your device, and how to stop it.

Cookies are small files a website saves on your device. We keep ours to a minimum.

  • Essential — remember your display preferences, such as dark mode, and keep forms working. These can't be switched off.
  • Analytics — anonymous counts of which pages people visit, so we know what's useful. Set only if you agree.
  • Third party — the maps on this site are served by Google, which may set its own cookies. Google's own privacy terms apply to those.

You can delete or block cookies in your browser settings at any time. Blocking the essential ones may stop parts of the site working properly.

Terms of Business

A summary. Your signed agency agreement is the document that governs the work.

  • Fees — quoted in writing before you instruct us, inclusive of VAT, with nothing added later. Sales fees are payable on completion; letting fees on the start of the tenancy.
  • Notice — you can end a sole agency agreement by giving us written notice as set out in your agreement. There's no tie-in beyond that period.
  • Valuations — our appraisal is a marketing opinion of value, given free and without obligation. It is not a survey or a mortgage valuation.
  • Property details — prepared in good faith and checked with the seller or landlord. They don't form part of any contract, and you should have your own survey and legal checks done.
  • Client money — rent and deposits are held in a designated client account, protected by our Client Money Protection scheme.
  • Referrals — if we recommend a broker, solicitor or contractor, we'll tell you in writing whether we receive a referral fee and how much.
  • Law — these terms are governed by the law of England and Wales.

Nothing here affects your statutory rights as a consumer.

Complaints Procedure

If we've got something wrong, tell us and we'll put it right.

  1. Tell us — write to hello@lincolnhomesuk.com or to 88a George Lane, London E18 1JJ, marked for the attention of the Complaints Manager.
  2. We acknowledge — within three working days.
  3. We investigate — and send you a written outcome within fifteen working days.
  4. Final review — if you're still unhappy, ask for a director's review. You'll get a final written response within eight weeks of your original complaint.
  5. Independent redress — if we can't resolve it, you can refer the matter to our redress scheme free of charge, within twelve months of our final response.

We're members of a government-approved redress scheme and hold Client Money Protection. Scheme names, membership numbers and contact details are shown on our property details and in the footer of this site.
